Introduction

CustomerGauge offers Data Access Restriction on survey records. This functionality (comes in simple to complex options) limits people to accessing data they should be accessing.


This can be because of privacy reasons, convenience of automatically only seeing “your own” data, or both.

Note that you might need help from our Support Team or your Account or Implementation Manager to set it up — not every form of data access restriction is provided by standard.

Division Field


Allows users only to see data based on the Division assigned to them as part of their User Access. The Division field can carry information such as country or organization division.

Combination option - Example: Country field + another segment


Allows users only to see data if they match  the set criteria assigned to them as part of their user access.

Based on the Organization's Hierarchy


Allows users only to see data if the Division field matches their Hierarchy criteria assigned to them as part of their user access.

Division


Data access restriction through division uses the CustomerGauge field "division" (it may be labeled differently in your system). When a User has a "division" value agains their user access, they're restricted to seeing only data that carries that same division value.


This automatic restriction happens in the background — and can't be disabled by those users. For users with Global division (no data access restriction based on division), they can still use the "division" reporting filter, if available, to narrow down the results in the report for a particular division value.



Segment 

Segment data access restriction allows you to setup user restriction to only see data of certain segments & segment values based on the data uploaded.


Note that segment data access restriction works together with any of the above data access restrictions.

Division and Segment

When a user is restricted by division, as well as segments, they're restricted to seeing survey data only if it matches both the user's division and segment.


Hierarchy and Segment

When a user is restricted by hierarchy, as well as segments, they're restricted to seeing survey data only if it matches both the user's hierarchy level and segment.

Hierarchy

Hierarchy-based data access restriction builds on top of Division data access restriction.

With hierarchy, division values are set up in a family tree-kind of structure. The higher at the top a user is, the more they can see.


This is best explained through an example;


Hierarchy structure:

  • Global
    • Europe
      • Netherlands
        • Amsterdam
        • Utrecht

      • United Kingdom

        • Glasgow
    • North America
      • USA
        • Boston
        • San Francisco
      • Canada
        • Quebec

Users:

  • User with Amsterdam; can only see survey data tied to Amsterdam
  • User with Netherlands; can see any survey data tied to Netherlands, Amsterdam, Utrecht, Rotterdam
  • User with Europe; can see any survey data tied to Europe, Netherlands, Amsterdam, Utrecht, Rotterdam, United Kingdom, London, Glasgow
  • User with Global; can see any survey data, regardless of how survey data is tied to division


To be aware:

  • Users can only see the tree from their division or lower
  • Users can only share reports from their division or lower
  • Users can only assign a case to someone from their division or lower
